Panza's Trading Post: Secondhand Market Application

Hello friends! If you're interested in selling your gently used otaku merchandise and clothing at Panza's Trading Post, please fill out this application.

PLEASE NOTE: We are charging a nominal fee this year, to encourage sellers to commit to attending. We had several people last year who reserved space and then didn't show up - taking the space from others. Our Staff are committing time and attention to reviewing these applications and making sure this sale can be as successful as possible, we want to ensure that our approved sellers fully intend on being present for the sale.

**The fee will only be charged if your application is approved.** 

We do make our approvals based on a first-come, first served basis, assuming you have filled out your application appropriately and appear to have items that are applicable to the standards of Panza's Trading Post: Secondhand Market. Set up will be on Sunday, September 14th; further details will be provided to those whose applications are approved.

Please be sure to provide the best possible images of your items as that makes a huge difference in our ability to accurately evaluate what you have to offer as we make our acceptance decisions.

Appropriate products for Panza's Trading Post:

Anime/Gaming/High Fantasy themed items such as: Figures/Statues, Cosplays, Wigs, Shoes, Posters, Prints, Paintings, Bookmarks, Pins/buttons/keychains, Comics/Manga, doujinshi, Books, T-Shirts and other clothing, Bags, Cards, Games, Ears/tails, Jewelry, Plushies, Props.

GENERAL RULES:

• You must have a valid ticket to attend QCAC 2025 to be a seller or attendee of any sort during Panza's Trading Post.
• All items must be secondhand or recycled items - this is not a place for bulk merchandise resellers, and is not intended to be used by Vendors of any sort: Artists or Dealers.
• Be kind
• No food items
• No contact lenses
• No real weapons of any sort
• No 18+ items (all items should be appropriate for a family friendly environment)
• Keep any noise at a courteous level
• Queen City Anime Convention will not permit the sale of any offensive or misleading material, including, but not limited to: hate speech of any kind, excessive profanity, depictions of “bodily fluids”, any indication of pedophilia, or any AI generated art.
• Queen City Anime Convention reserves the right to ask for any item deemed inappropriate be removed from the convention upon request. Failure to remove said item may result in removal from Panza's Trading Post: Second Hand Market with no refund.

PAYMENT 

Full payment of seller fee is due upon application approval - therefore payment information must be entered prior to submitting an application, and payment will be processed immediately if application is approved. If the balance cannot be processed immediately upon application approval you will be added to the Waitlist. 

UNCLAIMED SPACE 

Please notify QCAC Vendor Team via Eventeny if you can no longer attend. Queen City Anime Convention reserves the right to manage unclaimed spaces as deemed necessary.

SAFETY STANDARDS

Maintaining adequate aisle width is essential for attendee accessibility, particularly for those with mobility impairments, and for compliance with all applicable fire and safety codes. Sellers must ensure clear access to doorways and unimpeded visibility of emergency, fire, and exit signage.

COUNTERFEIT GOODS 

Queen City Anime Convention does not allow the sale of any merchandise that violates the United States copyright laws. QCAC Staff can request that a Seller remove any merchandise identified as illegal or counterfeit, or Seller may be removed for noncompliance with this policy. All Sellers are fully responsible for the risks associated with selling items violating any copyright and trademark laws.

END OF DAY & BREAKDOWN PROCEDURE 

Sellers are required to exit within 60 minutes after the Sale is scheduled to end. Sellers are required to clean up their table/area before departing the convention. This includes breaking down any boxes and picking up any trash, following all the site instructions from either the Embassy Suites Charlotte/Concord employees or Queen City Anime Convention staff regarding where trash will be left. Sellers violating this policy will not be permitted to Vend or Sell with QCAC in the future. 

INDEMNIFICATION  

All Sellers agree to indemnify, defend and hold The Queen City Anime Convention harmless against any claims, liabilities, losses, costs and expenses incurred as a result of any breach by the Sellers made in this contract. 

TAX RESPONSIBILITIES 

Sellers are required to collect and report all required taxes on all sales at the event. If the Seller has concerns in regards to what item(s) are taxable, it is the sole responsibility of the Sellers to contact the North Carolina Department of Revenue in order to resolve this.

Sellers may be asked to leave the convention for violating the terms of this agreement or the convention rules. Sellers who are asked to leave the convention for violating the terms of this agreement will not be offered a refund and may not be permitted to sell at Queen City Anime Convention in the future. Full convention rules can be found on the convention website and are subject to change.

Force Majeure: Queen City Anime Con Inc is not responsible for event cancellations due to weather, pandemic, or acts of God. 

We do not guarantee any sales and reserve the right to refuse Seller space to anyone for any reason. Submitting an application does not guarantee acceptance. By submitting an application you are agreeing to all of the terms and conditions outlined within this application, as well as Queen City Anime Convention Rules, Policies, and Code of Conduct.
