About the event

The Reading Pride LGBTQ+ Pride festival is the oldest and largest festival of its kind in the area celebrating its 17th anniversary this year and continuing to grow. Last year's festival was the largest ever, with over 5,000 attendees, 150 vendors, 15 food trucks, and 30 performers, and this year will be even larger. The 2023 festival will feature two stages, a Pride Kids Area, a Teen Space, a Sober Space, and much more. This festival is not one to be missed. Vendor applications go live on January 1st, 2023. Sponsors, vendors, and entertainers interested in performing are encouraged to complete the applications early. There are many sponsorship opportunities, but if you don't see one that suits your needs, please feel free to reach out. We will be pleased to discuss options. About the registration

Welcome to the Reading Pride Festival! The festival has taken place since 2006 and has grown in attendance every year. Our Vendors are a very important part of the festival providing information, services and wares to the LGBTQ+ community and our allies. Each year the number of vendors participating grows, each bringing a uniqueness that captures the interest of the attendees.

Terms & Conditions

What do you need to know as a vendor?
 
Vendors must provide all materials necessary to operate their booths. RPC no longer provides table and chair rentals. 
All pop-up canopies must have weights to secure them.
Application Confirmation: All applicants will be charged the non-refundable $15 application upon submission of application. Once the application is approved, vendor fee, and electrical fee if applicable will automatically be charged. A confirmation email will be sent confirming your acceptance as a vendor.. All vendor fees, once accepted, are non-refundable.
Vendor Space: Please remember this is an outdoor event.Vendor placement is at the sole discretion of Reading Pride Celebration. Standard vendors' spaces are 10x10 feet.
You may purchase extra space to secure a larger footprint at the festival. Please make a note of your requests on your application. Not all applications may be accepted based on space availability or conflicting products/services.
Smoke-Free: This event is a No Smoking Event. Smoking materials and paraphilia (both tobacco and other smoking devices) are not permitted to be sold within the confines of the festival. Designated smoking areas will be provided.
Generators: Vendors needing electricity are encouraged to provide their own generators.
Insurance: Vendors are encouraged to have proper insurance covering this event.Food vendors must have a certificate of insurance issued by your insurance company naming Muhlenberg Township and Reading Pride Celebration as additional insured parties.
Reading Pride Celebration is not responsible for any damages or suits resulting from items sold, the vendor’s personal property, or the actions of vendors participating in this event.
Food Vendors: Vendors must comply with all local, state, federal, and venue rules, and regulations and provide proof of the same.Food vendors with larger trucks are encouraged to apply, but there will be a higher vendor fee for those requiring extra space.
All food vendors must provide a copy of their current Safe Serve Certificate if selling food and a copy of a certificate of insurance issued by their insurance company naming Muhlenberg Township and Reading Pride Celebration as additional insured parties
Vendors are not permitted to vend alcohol of any kind for consumption at the event. Bars, Wineries, Breweries, etc. are welcome to participate and sell sealed beverages for pick up toward the end of the festival. 
No vending will be permitted outside of the designated area.
Vendor information may be provided to the PA State Department of Taxation. 
It is important to note, that all gender expressions are welcome at our festival.
The use of proper pronouns is very important to us. All Vendors are asked to watch our video on the use of proper pronouns on our youtube channel. Please remember, the easiest way to not misgender someone, is to ask for and use their name instead, or simply ask for their pronouns and share yours. 
What do you need to know as a Vendor at Pride on the day of the event?
 
Inclusion: Reading Pride Celebration welcomes participation by all people regardless of age, creed, gender, physical or mental ability, race, ethnicity, religion, and/or sexual orientation and asks all participants to engage in non-discriminating behaviors by respecting all other participants. This is a family event, and children are present. Profanity and obscenity are prohibited and violators will be asked to leave. Also, events like ours may attract protesters and we strongly suggest that no one engages in conversation with them.
**Note: Self-expression is welcomed, celebrated, and encouraged!  Full Nudity, however, is prohibited.
 
Vendor Arrival: All participants must check in at the registration table. Registration begins at 7:30 am. DO NOT unload your car until you have registered. There will be a park map with the vendor spaces marked and numbered at the Vendor Registration table. You will receive your assigned space when you register. No prior selection or saving of spaces will be allowed.

Open to the public: 11:00 AM to 6:00 PM

 Unload: Early set up is strongly advised; vendor check-in and set-up is from 7:30 AM – 10:00 AM – Rain or Shine! Vendors who arrive after the designated check in times, may be refused entry. 
We will have volunteers to help you carry your wares to your space. Immediately after unloading and before set-up, you must move your vehicle to the designated parking spot. Because of the large number of vendors and the limited area for unloading, we must move vehicles as quickly as possible so that others may unload without double parking. All unloading must be completed by 10:00 AM.
Festival ScheduleLive performances begin at 11:00 AM. A schedule will be posted on the day of the event.
The festival opens to the public at 11:00 AM. There will be an $8.00 wristband fee for the general public. Vendors and their staff will receive 4 complimentary wristbands for re-entry throughout the day. Vendors must use the link in their acceptance email to claim their complimentary passes. Each person must present their own pass at the admission gate or vendor check in to gain entry. Vendor passes can be saved via qr code to each participants phone or printed. 
Your Fee Includes: The size space you selected in your application. 
Additional wristbands may be purchased at the gate or through this event for $8 each.
We DO NOT provide access to WiFi.
Food vendors: the space will accommodate up to a 16 ft truck. Vendors needing a larger space will pay an increased fee.
Note: Vendors must bring their own tables, chairs, and tents. We are no longer offering these items for rent.
Payments: The application fee will be charged once you submit your application. Vendor booth Payments will be processed upon acceptance of your application. You will receive an email confirmation.
The event is Rain or Shine. NO REFUNDS AND NO EXCEPTIONS. We reserve the right to refuse entry to any vendor for non-compliance to the rules and or non-payment.
 
Large Tents and Umbrellas: We do not provide tents or large umbrellas. We suggest that you bring either a 10 x 10 Standard pop-up tent or a patio umbrella with a stand to protect you from the sun and or rain.
All Tents must be flame-retardant material and weighted/secured against the wind.
Tear Down: You must stay until the event closes at 6:00 PM. Anyone leaving before 6:00 PM may not be invited back in the future. No driving on the trail will be allowed before 6:00 PM. Please tear down your display and pack up Before You Get Your Vehicle. Hopefully, this will minimize parking time. Please ensure you take any trash in your area to the nearest trash and/or recycling receptacle.
For the safety of everyone, weapons of any kind are banned from the festival. (scissors, box cutters, or other necessary tools for vendors to conduct their business are exceptions)
While we cannot guarantee placement of vendors according to their preference, please use this application to share any preferences with us. I.E. Field or path preference, location near another vendor, etc. 
 
 *Please note that beverage vendors cannot sell alcohol, and will be monitored by security. Any vendor found to be selling alcohol will be immediately shut down by security, and be asked to pack up. Due to the nature of the festival and number of attendees walking around, and vendor shut down by security, will not be able to leave until the end of the festival.

Food Trucks up to 16 ft long $200 Non-refundable Single booth space is up to 16 feet wide and 10 feet deep.
Food Trailers requiring more than 16 ft. $250 Non-refundable
Beverage Booth (non Alchoholic) $150 Non-refundable
Electrical Outlet $15 Non-refundable Vendors are encouraged to bring their own generators. We will have electrical outlets available. Should you require electric, select this option. All vendors selecting this option will have their booths placed as close to an outlet as possible. Vendors are responsible for providing their own extension cords and for covering the cords to avoid trips & falls. Any vendor found connected to an outlet without selecting this option or inquiring about availability and paying for it that day, will be subject to a $50 fee.
