Transport to a world where your favorite characters from comic books, TV, film, and games come alive at Fandom Kissimmee. This family-friendly fantasy, sci-fi and comic book convention features exhibitions that cater to a wide-spectrum of interests including comic books, magazines, toys, games, cosplay, and artwork. There will also be panel discussions and demonstrations from comic industry professionals. Admission to Fandom Kissimmee is free, so bring the whole family and come dressed as your favorite characters.

About the application

This application is for vendors and exhibitors for Fandom Kissimmee. This event will take place on Saturday, September 17th, at the Kissimmee Civic Center. This is a family-friendly event: all art, merchandise, and exhibitions must be suitable for viewing by people of all ages. 
 
VENDOR RESPONSIBILITIES: Vendor will not be permitted to move in unless licensee is present or without prior approval from the City of Kissimmee Event Coordinator, Supervisor and/or designee.
 
BOOTH SPACE: Each individual vendor space is 10’ x 10’. One 6ft table and 2 chairs will be provided.
The City of Kissimmee is not responsible for providing power to any vendor. If you require power this must be purchased in advance from the City of Kissimmee and is subject to availability.
Vendors are responsible for removing empty boxes, trash, plastic bags etc.
Vendors are fully responsible for the cleanliness of the area of rental. Area must be left in the same condition, as it was when you arrived.
All vendor items must be removed from the premises at the end of the event. The City of Kissimmee assumes no responsibility for any merchandise.
 
APPROVAL: Applications will be approved/denied based on event needs, space availability, and/or amount of duplicated products. The submission of an application does not guarantee a vendor acceptance into any event. All decisions are at the City’s discretion. The City has a right to deny or cancel any vendor that does not follow the professional expectations and guidelines of the City. The CITY DOES NOT GUARANTEE EXCLUSIVITY for vendors on particular items.
 
CANCELLATIONS: The City has no control over weather and any losses due to event cancellation.
 
PARKING: Vendors are directed to drop off their equipment/supplies in the event area during specified set-up time and park their vehicle in specified parking areas. Vehicles parked in unauthorized areas are subject to being towed.
 
LIABILITY WAIVER: All vendors agree to discharge the City of Kissimmee, it’s employees and sponsors from any suits or claims based on property/possession loss or damage. All vendors agree to comply with the rules set forth or implemented on event day. The City reserves the right to revise any rule for the betterment of the events and their customers. Liability and Indemnity addressed in Activation Space Addendum.
 
INSPECTION: The City reserves the right to inspect any vendor’s booth space at any time to enforce all rules & regulations.
 
ENVIRONMENTAL REQUIREMENTS: Vendors may not dispense any products in glass containers. All food waste must be disposed of properly.
 
EVENT HOURS:  SET UP will take place on Friday, September 16th, 2022 from 1:00 p.m. – 4:30 p.m., and on Saturday, September 17th, 2022, from 8:00 a.m. – 10:30 a.m. The Exhibition Area will be open on Saturday, September 17th, 2022 from 11:00 a.m. – 5:00 p.m. BREAK-DOWN will be on Saturday, September 17th, 2022 from 5:00 p.m. – 7:00 p.m.
 
MERCHANDISE SALES: Any and all vendors who take orders or receive money for services that they provide to the attendees of any event held on City property, whether indoors or outdoors, will be subject to pay the required vendor fee.
The City of Kissimmee reserves the right to place all vendors in locations based on the nature of the event.
 
PERSONNEL: All staffing requirements are at the discretion of the City of Kissimmee Events and Venues Supervisor and/or designee. Should the Vendor’s actions or inactions require the City to utilize additional staff, the Vendor shall be responsible for paying the wages for the time the staff’s presence is necessary. This includes but is not limited to additional staff needed to clean the area used by the Vendor.

Terms & Conditions

Vendor will not be permitted to move in unless licensor is present or without prior approval from the City of Kissimmee Event Coordinator, Supervisor and/or designee. Displays will not extend beyond the boundaries of the booth or into the aisles. Booth assignments are determined by the Events and Venues staff. Requested locations are not guaranteed. All vendors must provide their own dollies, display lighting, and other operational equipment. The City of Kissimmee does not provide power to any vendor. Vendor agrees to keep their area clean and is responsible for any damage caused to the facility. Vendors will dispose of all garbage, boxes, etc. at load out time. Booths must be left in the same condition as when vendors arrived. All vendor booths must be manned for the duration of the event. All items must be removed from the premises at the end of the event. The City of Kissimmee assumes no responsibility for any merchandise left after the conclusion of the event. All booths and displays must remain intact throughout the entire event. Vendors may not shut down prior to the conclusion of the event. Vendors cannot sublet booth space to another vendor or business. The City of Kissimmee accepts no responsibility for any merchandise sold at the event. All merchandise bought or sold at the event is done strictly between vendors and attendees. City of Kissimmee is not party to any transactions made between said parties. Vendors are responsible for all taxes and licenses required to sell by the city, state and/or county, and the reporting of said taxes. The City of Kissimmee is not responsible for vendors’ failure to collect, report, and submit sales tax charges. Vendors shall provide a copy of all required licenses (state or federal) to the City of Kissimmee at least five (5) business days before an event. This shall include a copy of any certifications required for the sale of your product. Booth rental does not imply endorsement or sponsorship by the City of Kissimmee. The City of Kissimmee reserves the right to refuse displays or merchandise that is pornographic, extremely violent, contains graphic nudity, shows drug paraphernalia, includes weapons, tobacco/vaping products or bootleg merchandise of any kind. Vendors agree to display and sell merchandise that is appropriate for a family friendly audience. The City of Kissimmee reserves the right to adjust the event schedule, including guest speakers, performances and appearances.

Prices

Non-Profit Rate $45 Non-refundable Payment will be collected by City of Kissimmee upon acceptance and approval of application. Vendor booth includes a 10ft x 10ft space, one 6ft table, and 2 chairs. Table linen is not included. Power is not available.
Standard Rate $60 Non-refundable Payment will be collected by City of Kissimmee upon acceptance and approval of application. Vendor booth includes a 10ft x 10ft space, one 6ft table, and 2 chairs. Table linen is not included. Power is not available.
