Vendor application includes - Book Craft Vendors - Stationary Vendors - Office Supply Vendors - Educational Vendors - Other (please list) Requirements - Applicant must submit four (4) images: - Three (3) vendor’s product images - One (1) authentic booth image. That is an actual image of vendors booth setup -- Must include the entire booth, not a portion. -- The booth image shows the jury the vendors body of work, provides dimension and scale, a sense of artistic and creative presentation, and must reflect what artists booth will look like at the Festival. Sometimes a booth image is a final deciding factor of acceptance. NOTE: An application will be rejected if these rules are not followed. Section criteria includes, but is not limited to: - Product -- Quality -- Venue-appropriate - Presentation -- Quality of Presentation -- Booths should be organized, professional, and inviting, and include personal flare to set them apart. _______________________________________________________________________________ There are two locations for vendors, the Village Green Pavilion or along Ocean Way. The Village Green Pavilion is a large tent on the Beach Village Green where authors and vendors can purchase a space under the tent. Ocean Way is the road that connects the Convention Center to the Beach Village, where authors and vendors can set up their own tent for a discounted rate. Please thoroughly read over the entire Application Rules and Regulations (attachment below), for your category, before filling out and submitting an application. Both location Rules and Regulations are included in each of the categories. A submitted application constitutes a contract to follow those rules and regulations and accept Festival terms.

Vendor is not allowed to sell any published work of presenting authors or vending authors at the festival. - A list of vending authors and presenting authors will be sent prior to festival. Vendor understands that the space size they lease shall accommodate their unit. Space is limited, and all work must be contained within the assigned vendor space. The vendor’s display, including tent, canopy, or viewing bins, cannot extend over or into walkways and must be contained within vendor’s assigned space. - NOTE: The overall appearance of your area, as well as any persons assisting you within your area, are considered for involvement in future events. Vendors agree to keep their lease space and surrounding area clean and clear of all garbage and debris. Vendors are not allowed to share booths. - Load-in will be Saturday, April 11, 7 - 8 a.m. Booth location will be indicated in the vendor packet, which is mailed 3-4 weeks prior to the event. The Jekyll Island Book Festival Committee (JIBFC) determines the locations and load-in time of all booths and decisions made by the committee are final. - Vendors are assigned a specific load-in time and must comply. Come prepared to handcart your work in if you miss your assigned time. Handcarts not provided. - All vendors arriving after 9 a.m. will not be allowed in under any circumstance. -- Vendors are responsible for his/her own water. Running water hoses from spigots to vendor’s booth will not be permitted. Food trucks are NOT allowed. All vendors will be provided parking in a designated area. Vendors that do not park in that area will be asked to move their vehicle. No vendor will be allowed to keep a trailer behind their vendor space. Overnight parking in a motor-home is strictly prohibited. Jekyll Island Authority will not be able to provide change banks. Vendor are responsible for collecting and reporting all Georgia Sales Tax: http://dor.georgia.gov/sales-use-tax The Jekyll Island State Park parking fee applies to all vendor. For more information please visit: https://www.jekyllisland.com/visiting/park-entry-parking-passes/ An accepted application is a commitment to participate in Jekyll Island Book Festival which is an outdoor rain or shine event. Therefore, there will be NO REFUNDS for any reason, including an Act of God, after a vendor is accepted into the festival.   Booth Information: No early teardowns or departures. Vendor must be present at their booth and “Open-for-Business” by 10 a.m. on Saturday, April 11 and remain open during festival hours until completion of the event at 3 p.m. - Vendors who break down displays or depart before closing time of the Festival will not be allowed to return for future events Village Green Pavilion Booth Information: If electricity is needed, please notify Erin Evors – eevors@jekyllisland.com. Vendor will also need to bring a 50’ to 100’ extension cord to reach your booth. Additional chairs and 6’ tables are available for rent. Please indicate on the application. All materials must be contained within the assigned area. The vendor’s display cannot extend outside the tent or into another space. Vendor must provide his/her own signage. All banners must have grommets to be attached at top of the tent and cannot exceed 8’x8’. Additional signage must be kept within assigned booth space. Ocean Way Booth Information: Electricity is not available. Solar powered/battery operated devices are advised and Whisper quiet generators are allowed. If the generator is loud, and there are complaints, the vendor will be asked to turn it off and must comply. Chairs and 6’ tables are available for rent. Please indicate on the application. All materials must be contained within the assigned area. The vendor’s display cannot extend outside the tent or into another space. Vendor must provide his/her own signage and must be kept within assigned booth space. I have reviewed this entire application and agree to abide by the requirements set forth by this application. Furthermore, by signing below I agree to indemnify and hold harmless the Jekyll Island Authority from any claims whatsoever arising for my participation as an author and any theft loss, or damage to the person or property of the undersigned while in possession of under the supervision of Jekyll Island Authority during the Jekyll Island Book Festival. No refunds or credits will be issued for author cancellation, inclement weather cancellation, or acts of God. By signing this agreement, I agree to allow the Jekyll Island Authority and its contracted photographer/videographer to photograph and video my/business appearance at the event without further compensation.
