About the registration

This application is intended for artists interested in selling fan art or hand made pieces. If you intend on selling licensed and bulk produced merchandise, please see our Vendor registration information. In order to sell at Anime Weekend Atlanta, you must be approved by AWA. If you are interested in purchasing a table please fill out our artist application with as much detail as possible. Any omissions or inaccurate information may result in a rejection or delay in processing of your form.YOU WILL NOT BE CHARGED UNTIL YOU ARE APPROVED.Once you've submitted your application, you will receive an email confirmation. If you do not receive an email receipt please verify with our artist alley director at artistalley@awa-con.com.Space in the Artist Alley is $260. This includes one 6-foot table, two chairs, and two Exhibitor badges. The primary applicant (Artist) is legally responsible for the table. The primary applicant must sign the contract.The name on their application must match their legal ID. Please let us know in advance for exceptions, such as name changes.The primary applicant must be the one to check-in to receive their table at the convention.The primary artist must sign in during load-in hours at the loading dock at the back of the dealer’s hall.The Primary Applicant is the ONLY person who can pick up the table and are required to show ID.Table assistants, spouses, family members, etc. will NOT be able to check-in without prior approval.Tables not claimed by 9:30am on Friday will be sold to another artist and payment will not be refunded or transferred.Tables MUST be manned during all hours the Artist Alley is open to attendees. If you cannot meet this requirement, please do not apply. Leaving early will hurt your chances of being approved for a table in the future. (If you run out of merchandise, you can share pictures of your work, take commissions, and otherwise socialize with attendees).Only those with an exhibitor’s badge may run a table. No one without an Exhibitor’s badge is permitted in the exhibit hall during load-in and load-out hours.Artists may purchase one additional exhibitor’s badge in addition to the 2 provided with the cost of the table by marking it so on their application. The cost of this additional badge is $100.00. Artists can give the second and third exhibitor badges to either a secondary collaborating artist or a table assistant. A table assistant is someone you trust to help you set up, man your table and sell your artwork while you are not there who uses one of your exhibitor's badges.TABLE SHARING POLICY: Artists may share their table with other artists who have been accepted to the Artist Alley. You must have included the other artist’s work as part of your portfolio submission. One artist will be the “primary applicant”, who will sign the contract and be legally responsible for the table. We encourage both artists to email Artist Alley, to ensure consent.Artists may NOT share table space with artists who were rejected, waitlisted, or whose work our Portfolio Committee did not see.To add another artist to your table that was not listed on your original application, you will need to withdraw your initial application and reapply with their information included, or they will need to apply and be accepted separately. This option is not available after applications close.Table placement: Table placements are assigned in random order, unless otherwise specified.Artists may request specific table locations. Specific table requests must be made via email prior to the convention. Artists may request to be placed next to other specific Artists. Please include both your trade name and legal name. Artists may also request to not be placed near a specific artist.If circumstances arise where you cannot attend the convention or attend your table for the entirety of the convention, you must email us before the withdraw deadline.If you have already paid for your table, you can transfer your table to the next year.No refunds are available.If you inform us you will not be able to attend after the deadline, you likely will not be able to transfer your table.Emergencies situations will be considered on a case-by-case basis.Two types of works may be brought to the convention:Items for Sale – 2D or 3D artwork that you have brought to sell.Display Only – artwork that you are not selling. For example, original pieces to serve as examples for commissions or of which you are selling printsThe following are not permitted in the Artist Alley:Duplication/Reproduction of licensed materialReselling of commercial productsFood or drink to be sold from table as productWeaponsBootlegs or piracyMass-produced prints or merchandiseProducts that can be considered edited/altered for resellGarage sale-like items. If you have such items that you wish to sell, try the SuperHappyFunSale on Thursday evening.IF YOUR PORTFOLIO DOES NOT MEET THE FOLLOWING STANDARDS, YOUR APPLICATION WILL BE REJECTED:All the artwork in your portfolio should be your own. We allow for collaborations with other artists, but these should be clearly identified as such. Your portfolio must consist of at least 12 pictures or examples of your art These pieces should showcase your best work, and be representative of what you will display or sell at your table. Your portfolio must include a picture/drawing of your display Provide a photo from another convention or, If it is your first time vending at a convention, provide a mock- up drawing or photo of how you intend to display.Your portfolio should be available at a single url. We do not accept emails with attachments or multiple urls. If you do not currently have such a page, you can create one for free on sites such as deviantart.com or wix.com.Your portfolio link should be available until the convention, in case we need to view it later in the year.Please do not plan any website maintenance during this timeframe.Please contact Artist Alley if any problems with your site occur.If our judges attempt to visit your site and it at any time does not meet the 12 piece minimum or is otherwise unavailable, your application will be rejected.The portfolio link you submit should NOT include:Blog posts, profile pictures, or cosplay pictures (unless you are selling cosplay pieces).We will no longer accept portfolios on Tumblr, Facebook, or Photobucket.No sketches or incomplete works. There should be no tracing or reproduced art, such as cuttings from comics or photocopies from an official source.Exceptions: We may make exceptions for artists of less common types of art, such as Small Press. 2022 Artist Alley Contract Terms and ConditionsThis Document forms the basis of an agreement between AWA LLC, and the artists who wish to sell merchandises or services at Anime Weekend Atlanta, herein known as artist. AWA LLC is the host organizer and promoter of entertainment conventions and services. Artists in the business of buying and selling certain printed, audio, and visual material hereinafter designated as the Property identified and described as follows: video tapes, audio tapes, comic books, magazines, electronic media, CD, DVD, and other materials associated with Film/Motion picture, Animation, Comics, Manga, Video games and all associated periodicals with in stated and unstated genre’s. The term AWA LLC shall be termed to mean the individual or individuals assigned by the board of directors of AWA LLC as Artists’ Alley Liaisons.Exhibitor shall be fully responsible to pay for any and all damages to property owned by the Cobb Galleria Centre or AWA LLC or their owners or managers, which results from any act or omission of Exhibitor. Exhibitor agrees to defend, indemnify and hold harmless, Cobb Galleria Centre, AWA LLC, and their respective owners, managers, officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from Exhibitor's use of the property. Exhibitor's liability shall include, without limitation, all losses, costs, damages, or expenses arising from or out of or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its agents, employees, and business invitees which arise from or out of the Exhibitor’s occupancy and use of the exhibition premises, Hotel or any part thereof.Covid-19 All exhibitors must comply with the convention Covid policy, as stated on our website. We request that you and all representatives of your company please be vaccinated prior to October 1st, 2022. If you are unable to get vaccinated due to personal reasons, please take extra precautions to avoid getting sick. Exhibitors must follow all sanitation protocols established for the convention such as wearing a mask and using hand sanitizer. We will provide updates via email and on our website leading up to the event. No refunds will be given.AWA is not responsible in any manner for any risks related to COVID-19 in connection the event. The World Health Organization has classified the COVID-19 outbreak as a pandemic and that COVID-19 is a highly contagious and dangerous disease, and that contact with the virus that causes COVID-19 may result in significant personal injury or death regardless of vaccination status. 1) AWA LLC has contracted with the Cobb Galleria Centre and Renaissance Hotel (herein known as ‘venue’) and pursuant to the terms of that contract has the authority to provide a conference room and artist tables for the convention. AWA LLC shall be responsible for all monies owed to ‘venue’ pursuant to the terms of its contract therewith. Artist herby enters into a contract with AWA LLC for artist space at the show or show. AWA LLC shall be responsible for coordinating with ‘venue’ the preliminary setup for the convention. Artist agrees to contact ‘venue’ for any usage of telephone access and electricity in the exhibit hall, and will pay for any charges, if any.AWA LLC will not be held liable for any fees for electricity and/or telephone access in the exhibit hall.2) AWA LLC agrees to provide roughly 6 foot tables and passes into the convention. AWA LLC agrees to make said tables and exhibit space available to the Artist by no later than 8:00 PM on Thursday, October 27, 2022. Artist agrees to vacate convention hall premises by no later than 10:00pm on Sunday, October 30, 2022.3) AWA LLC agrees to be responsible for promoting the show. AWA LLC makes no representations as to the number of attendees and/or customers who will be in attendance.4) Subletting of tables is not permitted.5) Each application will be processed on a first come, first served basis.6) Artist shall be responsible for the actual setup of its displays. AWA LLC shall not be liable for any loss or damage to Artist’s property or for any personal injury suffered by Artist or any of its agents.7) Artists are responsible for loading and unloading their own materials.8) There is to be no smoking or otherwise burning of objects within the Artists’ Room at any time.9) All artists shall have a signed copy of the AWA LLC Artist Exhibition Contract (this document) on file with AWA LLC. No artist shall be allowed to sell merchandise or services at the convention facility without having a signed copy of file with AWA LLC.The convention facility shall be deemed to mean any function space used by the (‘VENUE’).10) Selling of items by Artists on convention grounds, which includes the stated event location and adjoining facilities, their parking lots, other than the Artists’ Room or any other designated area noted by AWA LLC is NOT allowed during the weekend of any AWA LLC event. This includes the selling of items inside Hotel rooms, lobby, or its facilities. Artists who fail to comply will be ejected without warning and without refund.11) Artists may play audio devices at moderate volume. AWA LLC reserves the right to determine the definition of ‘moderate volume.’ Furthermore, AWA LLC also reserves the right as to what audio content may be played during the hours of operation of the Artists’ Room.12) All artists must claim their tables before Friday October 28, 2022 at 9:30 AM. Tables, which have not been claimed by that time, may be resold at the sole discretion of AWA LLC. Artist agrees to hold the convention harmless for any lost investments or revenues as a result of either (a) unclaimed or (b) transferred tables.13) All artists certify that they have complied with all federal, state, and local policies regarding the collection of any and all required taxes.14) All artists certify that have complied with all federal, state, and local policies regarding obtaining valid licenses required to participate as a artist.15) All artists will obey federal, state, and local laws and ordinances regarding the sale of material which, intentionally or unintentionally, infringes upon the trademarks or copyrights of another party. Any artist selling material which infringes upon the trademark or copyright of another party may be ejected without warning and without refund. AWA LLC reserves the right to inspect and/or eject questionable material at any time. This includes, but is not limited to, the following products or companies: Bootlegged videos, Fan-subbed videos, Bootlegged (burned) audio CDs, VCDs, and DVDs Burned or Bootleg video games (e.g. Playstation, Dreamcast) Bootleg Carts (e.g. Nintendo GBA)16) Artists shall not display material which is deemed offensive or inappropriate. AWA LLC has the sole right to determine what is or is not offensive or inappropriate. Artists who continue to display material which has been deemed to be offensive or inappropriate may be ejected without warning and without refund. Furthermore, artists shall not sell any offensive or inappropriate materials to minors who are under the age of eighteen (18) years of age. Artists who sell such materials to minors shall be ejected without warning and without refund. Failure to comply is immediate grounds for ejection without warning and without refund.17) All ejected artists are still subject to state law in which the AWA LLC sponsored event resides with regards to tax collection.18) Only those artists with Exhibitor badges will be allowed in the room during set-up, closing, and takedown times. Only those with Exhibitor badges will be allowed behind artist tables at any time.19) Artists are expected to follow the same rules of behavior as the rest of the convention attendees during off-hours. Any Artist ejected from the convention during those hours must leave immediately the next morning during the set-up time.20) Artists will have forty-five (45) minutes to close down for the night each evening. After the forty-five minutes, the room will be locked. Under no circumstances will it re-open until the posted time the next morning.21) Artist is responsible for providing their own insurance, if desirable, to protect Artist and Artist’s property from damage, loss, theft, harm or injury. Neither AWA LLC nor ‘VENUE’ will obtain insurance on Artist’s behalf. Artist is solely responsible for its own company exhibited material, goods, samples, and other property.22) Upkeep of Artist’s booth, merchandise, and refuse is responsibility of the Artist.23) All displays, chairs, tables and merchandise must be maintained within Artist’s designated area.24) There will be no consumption or possession of alcoholic beverages in the Artists’ Alley.25) Artist agrees that the handling, viewing, and sale of adult-themed merchandise (“Hentai”, “Ecchi”, “Yaoi,” “ Yuri”) will be restricted to persons of age 18 and older and that they are responsible for verification of age before any sale. Artist agrees to bag/package said merchandise in an opaque bag upon sale. In addition, adult themed-merchandise must be displayed in a manner that restricts access from the general public. Video displays of adult- themed merchandise are not allowed.26) Artist will hold harmless AWA LLC and event facilities or any of their respective officers, agents, employees, representatives or affiliates, from any liability, damage, loss, harm, claim, or injury to property or person of the Artist, Artist officers, agents, employees or other persons, whether caused by the negligence of AWA LLC or event facilities, or from theft, fire, water, accident, or any other cause whatsoever that are not covered under AWA LLC’s standard insurance policy.27) AWA LLC reserves the right to make changes or amend the contract and has the final say on all matters pertaining to the use and function of the Artists’ Room during the run of the show.28) Any promotional fees from a Artist, Exhibitor, and/or persons representing a company involved with related industry must be presented to the CEO upfront and in writing.29) The addition of any extra charges to be incurred ( i.e. Phone, Drayage ) Will be made available via an addendum provided by AWA LLC upon request or until an updated information is made available to artists.30) Artist must furnish proof of licensed merchandise if requested by AWA LLC at any point. Any merchandise without proof must be put away upon request.31) AWA LLC reserves the right to remove any artist from the exhibit hall for any reason deemed appropriate by AWA LLC.32) AWA LLC has the right to take pictures of any booth for any reason deemed necessary. Artist allows AWA LLC to use the pictures for advertising, archival, or other reasons.

Additional Exhibitor Badge $100 Non-refundable Exhibitor badges are required for anyone that works behind the table, or is planning on being in the ex hall during set up/break down. Each table comes with 2, this is for the third (optional) badge.
